Job Description

Duties and Responsibilities / KPI’s

  • 1. Fuel Inventory Management:
    • 1.1. Maintain accurate and up-to-date records of all fuel receipts, issues, and transfers.
    • 1.2. Record daily fuel consumption for all equipment, vehicles, and operational units.
    • 1.3. Monitor fuel stock levels and ensure minimum stock levels are maintained at all times.
    • 1.4. Identify and report any discrepancies between physical stock and system records.
  • 2. Fuel Receiving & Dispatch:
    • 2.1. Receive fuel deliveries and verify quantities against delivery notes and invoices.
    • 2.2. Ensure proper documentation is completed and signed for all fuel transactions.
    • 2.3. Supervise or support safe offloading of fuel into storage facilities.
    • 2.4. Issue fuel to authorized personnel and ensure proper recording of all dispatches.
  • 3. Reconciliation & Reporting:
    • 3.1. Conduct daily, weekly, and monthly fuel reconciliations.
    • 3.2. Prepare fuel consumption reports and variance analysis.
    • 3.3. Investigate and report any fuel losses, discrepancies, or abnormal consumption patterns.
    • 3.4. Maintain accurate logs and submit timely reports to the Team Leader.
  • 4. Data Management & Documentation:
    • 4.1. Ensure proper filing and archiving of all fuel-related documents.
    • 4.2. Update fuel tracking systems (manual logs, Excel, or ERP where applicable)
    • 4.3. Maintain records in compliance with company audit requirements
    • 4.4. Assist during internal and external audits by providing accurate documentation
  • 5. Coordination & Support:
    • 5.1. Liaise with operations, maintenance, and logistics teams regarding fuel needs.
    • 5.2. Communicate fuel shortages or issues promptly to supervisors.
    • 5.3. Support planning and forecasting of fuel requirements.
  • 6. Compliance & Control:
    • 6.1. Ensure all fuel handling activities comply with company policies and procedures.
    • 6.2. Adhere to internal controls to prevent misuse, theft, or loss of fuel.
    • 6.3. Support implementation of fuel management improvements and controls.
  • 7. Key Performance Indicators (KPIs):
    • 7.1. Accuracy of fuel inventory records and reconciliation reports.
    • 7.2. Timeliness of daily and monthly reporting.
    • 7.3. Reduction and control of fuel variances.
    • 7.4. Zero tolerance for unaccounted fuel losses.
    • 7.5. Compliance with safety and environmental standards.

Qualifications / Experience / Technical Knowledge

Qualifications:

  • • High School Diploma or equivalent (required)
  • • Certificate or training in Logistics, Supply Chain, or Business Administration (advantage)

Experience:

  • • Minimum of 1–3 years’ experience in fuel handling, inventory, or logistics
  • • Experience in mining or heavy industry environment is an added advantag

Technical Knowledge:

  • • Basic understanding of inventory and stock control processes
  • • Knowledge of fuel handling and storage practices
  • • Proficiency in Microsoft Excel and recordkeeping systems
  • • Familiarity with ERP/SAP systems (preferred)
  • • Understanding of safety procedures related to fuel operations

  • 1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.
  • 1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
  • 1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.
  • 1.4. Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.
  • 1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.
  • 1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.
  • 1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
  • 1.8. Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.
  • 1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
  • 1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.
  • 1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.
  • 1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.

Environment

  • 1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.
  • 1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.
  • 1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.
  • 1.4. Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.
