Job Description

Duties and Responsibilities / KPI’s

Operational Supervision:

  • Supervise daily fuel management operations, including receipt, storage, and distribution.
  • Oversee fuel clerks, drivers, and support staff to ensure efficient performance.
  • Allocate tasks and monitor completion to meet operational requirements.
  • Ensure adherence to shift schedules and workforce productivity.

Fuel Inventory & Control:

  • Monitor fuel stock levels and ensure accuracy of inventory records.
  • Oversee daily, weekly, and monthly fuel reconciliations.
  • Investigate discrepancies, variances, and fuel losses.
  • Implement and enforce internal controls to prevent fuel theft or misuse.
  • Ensure proper stock rotation and storage practices.

Fuel Supply & Distribution:

  • Coordinate fuel supply to all operational areas to meet demand.
  • Ensure efficient and timely fuel distribution across site operations.
  • Monitor fuel consumption trends and support forecasting activities.
  • Ensure correct quantities and quality of fuel delivered.

Reporting & Documentation:

  • Review and validate fuel reports (daily, weekly, monthly).
  • Ensure accuracy and completeness of all fuel documentation.
  • Prepare and submit performance and variance reports to the Superintendent.
  • Maintain records in compliance with audit and company requirements.

Team Leadership & Development:

  • Supervise, coach, and guide fuel team members.
  • Monitor performance and provide feedback to improve efficiency and compliance.
  • Ensure team adherence to policies, procedures, and safety requirements.
  • Support training and development of staff.

Compliance & Governance:

  • Enforce company policies, procedures, and fuel management standards.
  • Maintain audit readiness and support internal/external audits.
  • Ensure compliance with audit requirements and internal controls.
  • Support continuous improvement initiatives within fuel operations.
  • Participate in audits and implement corrective actions.

Coordination & Stakeholder Engagement:

  • Liaise with operations, logistics, and maintenance teams for fuel planning.
  • Communicate fuel availability, challenges, and risks effectively.
  • Coordinate with procurement or supply teams for fuel replenishment.

Key Performance Indicators (KPIs):

  • Accuracy of fuel inventory and reconciliation reports.
  • Reduction of fuel variances and losses.
  • Timeliness and reliability of fuel supply to operations.
  • Team productivity and performance.
  • Compliance with safety, environmental, and audit standards.

Qualifications / Experience / Technical Knowledge

Qualifications:

  • Diploma or Degree in Logistics, Supply Chain Management, Engineering, or related field.
  • Additional certification in fuel management or operations is an advantage.

Experience:

  • Minimum of 5–7 years’ experience in fuel management, logistics, or supply chain operations.
  • At least 2–3 years in a supervisory or leadership role.
  • Experience in mining or heavy industrial environment is strongly preferred.

Technical Knowledge:

  • Strong knowledge of fuel storage, handling, and distribution systems.
  • Understanding of inventory management and reconciliation processes.
  • Familiarity with ERP/SAP systems and reporting tools.
  • Knowledge of safety standards related to fuel and hazardous materials.
  • Strong analytical and reporting capabilities.

Health and Safety

Ensure compliance with all relevant health and safety regulations, standards, and procedures.

  • Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
  • Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.
  • Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.
  • Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.
  • Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.
  • Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
  • Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.
  • Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
  • Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.
  • Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.
  • Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.

Environment

Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.

  • Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.
  • Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.
  • Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.
  • Collaborate with the Environment team to identify opportunities for environmental improvement and develop strategic programs to enhance sustainability practices.
