Job Description

Duties and Responsibilities / KPI’s

Operational Supervision:

  • Supervise daily warehouse activities, including receiving, storage, picking, and dispatch.
  • Allocate tasks and monitor performance of warehouse staff (clerks, operators, controllers).
  • Ensure smooth workflow and timely handling of materials.
  • Monitor adherence to operational procedures and standards.

Inventory Management & Control:

  • Ensure accuracy of stock records and inventory balances.
  • Oversee goods receipt and goods issue processes.
  • Supervise cycle counts and stocktaking activities.
  • Investigate and resolve stock discrepancies and variances.
  • Ensure proper documentation and tracking of all inventory movements.

Warehouse Operations:

  • Ensure proper storage, handling, and organization of materials.
  • Optimize use of warehouse space and storage systems.
  • Monitor material flow to prevent delays or bottlenecks.
  • Support efficient receiving and dispatch operations.

Systems & Data Management:

  • Ensure accurate and timely entry of transactions into ERP/SAP systems.
  • Verify data recorded by clerks for completeness and accuracy.
  • Generate and review warehouse reports.
  • Support system improvements and process optimization.

Team Leadership & Development:

  • Supervise, coach, and support warehouse team members.
  • Monitor staff performance and provide feedback.
  • Ensure staff compliance with company policies and procedures.
  • Support training and development initiatives.

Compliance & Governance:

  • Ensure adherence to company policies, procedures, and internal controls.
  • Maintain audit readiness and support audit activities.
  • Enforce proper documentation and recordkeeping practices.
  • Implement corrective actions from audit findings.

Coordination & Communication:

  • Liaise with procurement, logistics, and operations teams
  • Communicate stock availability, shortages, or issues
  • Support planning and coordination of material requirements
  • Escalate operational challenges when necessary

Key Performance Indicators (KPIs):

  • Accuracy of inventory records and stock control
  • Timeliness of receiving and dispatch operations
  • Reduction of stock discrepancies and losses
  • Team productivity and efficiency
  • Compliance with audit, safety, and operational standards

Qualifications / Experience / Technical Knowledge

Qualifications:

  • Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or related field
  • Additional training in warehouse management is an advantage

Experience:

  • Minimum of 4–6 years’ experience in warehouse operations
  • At least 2 years in a supervisory role
  • Experience in minning or industrial environment preferred

Technical Knowledge:

  • Strong understanding of warehouse operations and inventory control
  • Knowledge of ERP/SAP systems and reporting tools
  • Familiarity with stock reconciliation and audit processes
  • Understanding of material handling and storage practices

Health and Safety

  • Ensure compliance with all relevant health and safety regulations, standards, and procedures.
  • Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
  • Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.
  • Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.
  • Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.
  • Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.
  • Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
  • Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.
  • Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
  • Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.
  • Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.
  • Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.

Environment

  • Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.
  • Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.
  • Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.
  • Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.
  • Collaborate with the Environment team to identify opportunities for environmental improvement and develop strategic programs to enhance sustainability practices.
